Informations on the processing of personal data at Hostel360
W związku z art. 13 ust. 1 i 2 Rozporządzenia Parlamentu Europejskiego i Rady (UE) 2016/679 z dnia 27 kwietnia 2016 r. w sprawie ochrony osób fizycznych w związku z przetwarzaniem danych osobowych i w sprawie swobodnego przepływu takich danych oraz uchylenia dyrektywy 95/46/WE (ogólne rozporządzenie o ochronie danych, dalej zwane „RODO”) informujemy, że:
In connection with Article 13 (1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter referred to as “RODO”), we inform you that:
The administrator of your personal data is:

1. Purposes and grounds for processing your personal data. Your personal data will be processed for:
a) handling of submitted incoming inquiries by e-mail – based on Article 6(1)(a) of the RODO – consent of the data subject;
b) Booking of accommodation – based on Article 6(1)(a) of the RODO – consent of the data subject;
c) Implementation of the contract for hotel services – on the basis of Article 6(1)(b) of the RODO – for the purpose of concluding the contract;
d) Ensuring the safety of persons and property located in the hostel by identifying all persons staying in the hostel – based on Article 6(1)(f) of the RODO;
e) in order to fulfill a legal obligation (to issue an invoice documenting the performance of a service) – on the basis of Article 6(1)(c) RODO.
2. The period for which the data will be stored:
• concerning submitted inquiries – for a period of 5 years from the end of the correspondence;
• concerning reservations made – for a period of 5 years from the date of booking;
• concerning the performance of the contract for hotel services or necessary for the issuance of an invoice – for a period of 5 years from the end of the year in which the stay in the hostel took place;
For individual cases, the time for processing personal data expires with the useful lifetime of the data, i.e:
– in case we process personal data for the performance of a contract, the processing will continue as long as the statute of limitations for any claims under the law;
– we will process data processed in order for us to comply with our obligations under applicable laws and regulations for as long as those laws and regulations require;
– data that we process in pursuit of a legitimate interest will be processed for as long as that interest lasts; or until you object to its processing if the basis for processing was consent given for other purposes or the data was processed for marketing purposes. Withdrawal of consent for the processing of personal data is possible at any time, and does not affect the lawfulness of the processing that was carried out on the basis of consent before its withdrawal.
3. The recipients of personal data may be entities entitled to obtain personal data under the law;
Personal data may be shared with entities to which we are obliged by law to transfer them, or entrusted to our subcontractors to whom we outsource personal data processing services, e.g. for accounting, legal, marketing purposes. Such entities process data on the basis of a contract with us and in accordance with our instructions.
The Administrator does not intend to transfer data to a third country or international organization.
4. Rights related to data processing
You have the right to:
a) access your personal data and receive a copy of it,
b) rectification of your personal data,
c) deletion of your personal data,
d) limitation of the processing of your personal data,
e) transfer your data,
f) file a complaint with the President of the UODO (www.uodo.gov.pl),
g) withdraw consent at any time, to the extent that the data are processed on the basis of a separate consent. However, this will not affect the lawfulness of the processing that was carried out before the withdrawal,
h) to object to the processing of personal data.
5. Provision of personal data is voluntary, however, refusal to provide data may result:
a) refusal to provide hotel services – in the case of data processed for the purpose of contracting hostel services;
b) refusal of reservation – in the case of booking a room.
6. Your personal data is not subject to automated decision-making, including profiling.

The hostel may collect only the data necessary for the realization of the hotel service and to provide the hostel with security against possible claims. These data are:
● first and last name;
● PESEL;
● residential address;
● contact phone;
● e-mail address.
The hostel may collect data that is required to issue a VAT invoice.
The hostel cannot make photocopies of ID cards or other identity documents.
We would like to inform you that providing the necessary data in order to present an offer or perform a contract is voluntary, but necessary to perform the mentioned activities. If you have given separate consent to the processing of personal data for marketing purposes provided electronically, you can withdraw it at any time without affecting the contract.
